Introduction

It’s 11 pm. A potential client has just seen your work on Instagram and wants a haircut on Saturday. They send a message, wait, and fall asleep. By the time you reply at 9 am, they’ve booked somewhere that let them pick a time on the spot.

Online booking fixes this. Clients choose a service, a specialist and a time in under a minute, any time of day, and you wake up to a full calendar instead of a full inbox.

The good news: setting it up takes an afternoon, not a month. This guide walks you through it step by step, with a checklist at the end.

Why online

What clients expect today

Your clients book flights, restaurants and doctors online. They expect the same from their barber or nail studio:

  • Instant. They see free slots and book on the spot, with no waiting for a reply.
  • Any time. Many people plan their week in the evening, after work, when you’re closed.
  • On their phone. Booking has to work in a few taps from an Instagram link, not on a desktop form.
  • Confirmed. A confirmation right after booking, so they know it worked.
  • Easy to change. If plans shift, they want to move the visit without an awkward phone call.

Online booking also helps you. Fewer messages to answer, no double bookings, and a calendar your whole team can see.

Step 1

Set up your services, durations and buffers

Your service list is what clients see first, so keep it short and clear. Before you open any software, write it down on paper.

Keep the menu simple. Ten clear services beat forty confusing ones. Group them (Cuts, Beard, Colour, Nails, Treatments) and use names clients understand. “Skin fade + beard trim” is better than “Package B”.

Use real durations. Time a few appointments instead of guessing. If a fade usually takes 40 minutes, don’t list it as 30. You’ll run late all day.

Add buffer time. A buffer is a short gap after a service for cleaning, setting up or a client running a few minutes over. Typical buffers:

  • Quick services (beard trim, brow shaping): 5 min
  • Standard services (haircut, manicure): 10 min
  • Chemical or wet services (colour, facial): 15 min
  • Room or bay resets (massage, SPA treatment): 15–20 min

Show a price. A fixed price or a clear “from €30” builds trust and cuts down on “how much is it?” messages.

Write one line per service. What’s included, who it’s for, and anything the client should know, like “come with clean, dry hair.”

Step 2

Set up staff calendars and who does what

Online booking only works if the calendar shows real availability. That means setting it up per person, not per business.

  1. Add each specialist Use their real name and a photo. Many clients book a person, not a shop.
  2. Set working hours per person Mark who works which days, plus lunch breaks. If Maria starts at 12:00 on Tuesdays, the calendar should say so.
  3. Match services to people Not everyone does everything. Only your colourist should be bookable for balayage; only your senior barber for the hot towel shave.
  4. Block time off early Add holidays and days off as soon as you know them, so nobody gets booked while they’re away.
  5. Decide on “any specialist” For quick services, letting clients choose “first available” fills your calendar faster.

Solo? It’s even simpler: one calendar, your hours, your services. You can add people later as you grow.

Step 3

Put your booking link everywhere clients find you

A booking page nobody sees won’t fill your calendar. Add the link wherever clients already look for you:

  • Instagram: put the link in your bio and add a “Book” button to your profile. Mention it in story highlights and post captions.
  • Google Business Profile: add the link as your booking or website URL, so people can book straight from Maps and search.
  • Website: add a “Book now” button at the top of every page, not only on the contact page.
  • WhatsApp, Telegram, Viber: save the link as a quick reply, so when someone asks “are you free Friday?” you can answer in one tap.
  • In the shop: print a QR code for the mirror, the reception desk and business cards.

Then tell your regulars. A short message is enough:

Mistakes

Common setup mistakes

  • Keeping two calendars. If some bookings stay in a paper diary, you’ll get double bookings. Move everything into one calendar from day one, including bookings taken by phone.
  • Hiding too many slots. Some owners open only a few times online “to stay in control”. Clients see an empty calendar and assume you’re fully booked or not serious.
  • Durations that are too short. It looks efficient on screen, but you’ll run late by lunchtime and clients will wait.
  • Too many choices. Forty services with similar names slow clients down. If a client has to ask which one to pick, merge or rename them.
  • Forgetting the team. Staff should check their own schedule daily and block time off themselves. If only the owner updates the calendar, it goes out of date fast.
  • Launching quietly. Turning on online booking without telling anyone means nobody uses it. Announce it to regulars and keep the link visible.
