Introduction
Most owners don’t stay with an old booking system because they love it. They stay because they are afraid. What if a client’s appointment gets lost? What if the team can’t cope? What if Saturday is busy and nothing works?
The move feels huge because we imagine doing everything at once, in the middle of a normal week. It doesn’t have to be like that. A small business can switch in one weekend if you plan it in three short steps and keep your old diary alive until you are sure.
In this article you’ll get a Friday, Saturday and Sunday plan, a message to send to your clients, and a checklist for the first week.
Prepare
Before you start: gather what you need
Spend 30 minutes before the weekend collecting everything in one place. You can’t finish a move if you are still hunting for information.
- Your service list. Names, prices and how long each one takes.
- Your team. Who works, which services each person does, and their usual hours.
- Your clients. Names and phone numbers from your current diary, phone contacts or notebook. Start with your regulars, not the whole history.
- Future bookings. Every appointment from next Monday onward, with client, service, specialist, date and time.
Print or copy the future bookings into a list. Then keep the old system or diary open until the end of the first week. It is your safety net. Nothing is deleted, nothing is lost.
Friday
Friday: set up services, staff and hours
Choose a quiet evening, or the end of the working day. This part takes about two hours for a small team.
- Create your account and business Add the name, address and contact details clients will see.
- Add your services Enter each service with its price and duration. Keep the names short and clear. If you have never trimmed your menu, now is a good time.
- Add your specialists One seat per person who takes bookings. Choose which services each person offers.
- Set working hours Enter the real weekly schedule for every specialist, including days off and lunch breaks.
At the end of Friday you have an empty but correctly built calendar. You don’t need to do anything else tonight.
Saturday
Saturday: add clients and re-enter appointments
This is the longest day, and mostly typing. Put on some music and split it in two blocks.
- Morning: clients. Add your regulars first, with name and phone number. Anyone you forget can be added when they next book.
- Afternoon: upcoming appointments. Re-enter every future booking from your list, starting with the nearest dates. Double check the time, specialist and service.
- Add notes. Colour formulas, allergies, favourite styles. These are the details that make a client feel remembered.
Tick off each appointment on your printed list as you enter it. When you finish, compare the number of bookings in both places for the next two weeks. They should match.
Sunday
Sunday: test, share, and brief the team
Sunday is about confidence.
- Make a test booking from your phone as if you were a client. Check that the right specialist and time show up.
- Cancel or move it and see how that looks in the calendar.
- Share your booking link on Instagram, in your bio, on Google, on a small sign near the till and in messages to your regulars.
- Brief the team. Spend 20 minutes together. Show where to see today’s appointments, how to add a client and how they are notified when someone books.
Keep the message simple for the team: “Open the calendar, it’s all there.” They do not need to learn everything today.
Telling clients
How to tell clients about the change
Clients usually don’t mind a change if you tell them clearly and early. Send a short message to your regulars on Sunday or Monday morning. Here is a template you can copy:
Hi [Name], quick news from [Business name]. From this week you can book your visit online, any time, at [link]. Your existing appointment on [date] is already saved, so you don’t need to do anything. If you prefer, you can still message or call us. See you soon!
Also say it in person for a week or two: “You can book your next time from your phone now.” Most clients will try it once and keep using it.
First week
Your first-week checklist
Print this and keep it near the till.
- Before the weekend: service list, team hours, client contacts and future bookings gathered
- Friday: account created, services added, specialists added, working hours set
- Saturday: regulars added, upcoming appointments entered, notes added
- Sunday: test booking made, booking link shared, team briefed
- Monday: message sent to regulars, today’s appointments checked in the new calendar
- Midweek: compare the new calendar with the old diary for the days ahead
- Friday: check every booking made online, fix any wrong durations or hours
- End of week 1: retire the old diary when you feel sure
If something looks wrong in week one, you change one setting. You don’t start over.
