Introduction

A client books on Monday for the following Saturday. By Saturday morning, a week of work, kids and traffic has pushed the appointment out of their head. They aren’t rude. They simply forgot.

That is why a good reminder does most of the work against no-shows. It costs almost nothing, takes a few seconds, and gives the client an easy moment to say “I can’t make it” while you can still refill the slot.

In this article you’ll learn when to send reminders, which channel fits which client, and you’ll get eight copy-paste templates you can use today.

Why clients forget

It’s rarely rudeness

Think about how people book. They pick a slot on their phone in a spare minute, often days or weeks ahead, and the appointment lives in one place only: your confirmation. No calendar entry, no sticky note.

Most missed visits come down to ordinary reasons:

  • The booking was made long ago. The longer the gap, the more likely it slips.
  • Nothing reminded them. Life is busy and there was no nudge.
  • Plans changed and cancelling felt awkward. Many people just stay silent instead of calling.
  • They didn’t know how to cancel. If it takes a phone call, some won’t do it.

Every one of these is fixed by the same thing: a short, friendly message at the right moment, with a clear way to respond.

Best timing

Three messages are enough

You don’t need to flood clients. Three touchpoints cover almost every business:

  1. Confirmation at booking Send it straight away. It tells the client the booking worked and gives them the date, time, service and address to save.
  2. A reminder 24 hours before This is the most important one. It’s early enough that you can refill the slot if they cancel, and close enough that they still remember.
  3. A short nudge 2 hours before Optional, but useful for services where lateness hurts, such as long colour sessions or detailing jobs that need the bay for half a day.

Two adjustments help. For services booked more than two weeks ahead, add a reminder 3 to 7 days before, because 24 hours alone may be too late to refill a long, expensive slot. And for Monday morning appointments, send the 24-hour reminder on Saturday or Sunday evening so it lands when people are free to read it.

Channels

SMS, email or messenger

Each channel has a place. Choose by what your clients actually read, not what is fashionable.

  • SMS. Almost everyone opens it within minutes, and it needs no app. The downsides are cost per message in some countries and the short length. Best for the 24-hour and 2-hour reminders.
  • Email. Free and good for details like address, parking, prices and preparation instructions. The downside is that many clients check email once a day, so it’s too slow for same-day nudges. Best for confirmations.
  • Messenger apps such as WhatsApp, Viber or Telegram. They feel personal and clients reply in one tap, which makes confirming easy. The downside is that you need the client’s consent to message them and a way to keep conversations organised. Best for regulars who already chat with you.

A simple rule: confirm by email or the booking page, remind by SMS or messenger. If a client replies on a channel, use that one next time.

Templates

Eight message templates to copy

Replace the words in brackets with your own details. Keep each message under three lines.

1. Barbershop, 24 hours before

Hi [Name], a reminder of your haircut tomorrow at [time] with [Barber] at [Shop]. Reply YES to confirm or let us know if you need to move it.

2. Nail salon, 24 hours before

Hi [Name], see you tomorrow at [time] for [service] with [Master]. Please arrive 5 minutes early, and tell us if you have gel or extensions to remove. Can’t make it? Reply and we’ll find a new time.

3. SPA, 24 hours before

Hello [Name], your [treatment] is booked for tomorrow at [time]. Please arrive 10 minutes early to relax before your treatment. If your plans change, let us know today so we can offer your slot to someone on the waiting list.

4. Auto detailing, 24 hours before

Hi [Name], your [car model] is booked in tomorrow at [time] for [service]. It will take around [hours] hours. Please remove personal items from the car. Need to move the date? Reply here.

5. Confirmation right after booking

Thanks [Name]! You’re booked for [service] on [date] at [time] with [Specialist], [address]. We’ll see you then. To change or cancel, reply to this message.

6. 2 hours before

Hi [Name], just a quick reminder: your appointment at [Shop] is today at [time]. See you soon!

7. First-time client

Welcome, [Name]! Your first visit is [date] at [time]. It takes about [duration]. You’ll find us at [address], [parking or entrance tip]. Questions before you come? Just reply.

8. Gentle follow-up when there’s no reply

Hi [Name], we haven’t heard back about tomorrow at [time]. Are you still coming? If not, no problem, just tell us and we’ll offer the slot to someone else.

Notice what these share: a name, the exact time, who they’re seeing, and an easy next step. Skip long policy text in a reminder. Save that for your booking confirmation.

One tap

Let clients confirm or reschedule easily

A reminder that only informs is half a reminder. The other half is making the reply effortless.

  • Ask for one word. “Reply YES to confirm” is easier than “please call us to confirm your appointment.”
  • Say what happens if they cancel. “We’ll offer the slot to someone else” makes cancelling feel normal, not embarrassing.
  • Offer a way to rebook. A link to your online booking page lets them pick a new time in under a minute, even at midnight.
  • Reply fast. When a client cancels, thank them and mark the slot free straight away so you can refill it.

Track which reminder format gets the most replies for a month, then keep that one. Small wording changes often matter more than sending more messages.
